Administrative Coordinator / Customer Service Coordinator

Position Summary: We are seeking a highly organized and customer-focused Job Coordinator to support daily operations by managing job closeouts, invoicing, customer follow-up, and project coordination. The ideal candidate is detail-oriented, proactive, and able to effectively communicate with customers, vendors, and internal teams to ensure a seamless experience from project completion through final billing.

Key Responsibilities: Close completed jobs accurately and efficiently. Prepare and process customer invoices in a timely manner. Follow up with customers regarding completed work, satisfaction, and outstanding items. Coordinate schedules, documentation, and communication between customers and internal teams. Maintain accurate project records and update company job status and ensure all required paperwork is completed before final closeout. Assist with collections by following up on outstanding invoices when needed. Address customer questions and concerns professionally and promptly. Communicate project updates to customers and stakeholders. Support office operations and administrative tasks as assigned.
