RemoteWe are looking for an experienced Conference Housing Manager to manage hotel room blocks and housing operations for association conferences and conventions across North America. This is a specialized conference housing position, not a general event planning role. The ideal candidate has hands-on experience managing hotel room inventory, pickup, cutoffs, rooming lists, and hotel relationships across multiple events. Intrigued? You’ll run housing for association meetings that book tens of thousands of room nights across multiple properties and sub-blocks. Blocks that size move constantly, and pick-up rarely lands where the forecast said it would. Reading those patterns early, and adjusting before rooms are lost, is most of the job. You’re the one the client calls, and the one the hotels work with day to day. You’ll set the block strategy, keep the data behind it clean, and turn what’s happening into reporting a board can act on. Once the event wraps, you run the audit and reconcile the room nights the client uses to bill their hotels. There’s real room to work your own way here. If you have a view on how housing should be done, we want to hear it. And for clients who ask us to source their venue, that sits with this role too. But WHAT will you be doing? Core Responsibilities1. Room block management Database management Inventory management Individual and group reservations management Mitigate attrition, overbooking, cancellations, and security issues Manage rooming lists and hotel incentives2. Client reporting and analysis Pick-up, pace, and attrition risk reporting throughout the housing cycle Housing flow analysis and post-event highlights reporting Attendee housing surveys and result sharing Process review and recommendations to the client3. Client relationship management Serve as the client’s housing point of contact from kickoff through post-event close Manage the hotel relationship on the client’s behalf, including partner letters, inventory confirmation, and issue escalation Own the client communication cadence and escalation path4. Room sales management Maximize pick-up and capture rate Maximize potential to earn hotel incentives5. Post-event audit and reconciliation Hotel audit and master account review Reconcile audited room nights and confirm final billable volume Deliver final pick-up and audit summaries supporting the client’s commission collection from hotels6. Project management Stakeholder management Scope, time, and budget management Billing management7. Venue and site sourcing and selection Source cities and venues for upcoming events Secure the best concessions and returns for clients Collect and present bid options to the client Other Responsibilities Prepared to travel mainly to the US and Canada, with the possibility of international travel, up to 15-20% of the year Deliver onsite housing support when required by the client, acting as primary onsite point of contact for attendee housing inquiries and hotel liaison Identify cost-saving opportunities Ability to work evenings and weekends when required Does this fit your profile? Bachelor’s degree or equivalent professional experience 3+ years of experience in housing management for conferences Having exposure to events with room blocks at multiple properties & sub-blocks Knowledge of hotel industry practices and trends Knowledge of conference/convention venue sourcing and selection (asset) Does this sound like you? Excellent client services approach Ability to lead and manage several projects simultaneously Highly developed analytical mind, organized, detail-oriented, and strong ability to solve problems Team-oriented Tech savvy and comfortable with learning new technology Excellent communication skills in both spoken and written English.
