Producer

About Us: Black Koles is a creative agency based in Salt Lake City specializing in outdoor, adventure, and regenerative agricultural storytelling. We are a tight‑knit team of production, marketing, and strategy experts passionate about transforming brand ideas into immersive content experiences. Our clients span the outdoor industry, ski and snowboard brands, hunting & fishing companies, and beyond – we live for creating compelling stories in wild and beautiful places. With multiple projects always in motion, our agile team excels at bringing these projects to life while ensuring they reach their full potential.

Role Overview: We are seeking an extremely organized and thorough Producer (Line Producer) with a solid understanding of the production industry to help bring our client’s stories to life. In this hybrid role, you will balance creative vision with logistical execution – overseeing projects from pre‑production through delivery. You’ll work closely with our internal creative and production teams (directors, producers, editors) and amazing brand clients to ensure every production runs smoothly, on time, and on budget. This is a full‑time position based in Salt Lake City, UT, with flexibility for a hybrid work schedule (mix of office, remote, and on‑location). The ideal candidate has 5+ years of experience in film/video production management or line producing and thrives in a fast‑paced environment managing multiple projects simultaneously.

Key Responsibilities: Budget & Contracts: Develop and manage production budgets from start to finish, negotiating rates with vendors and freelance crew to optimize costs. Track all expenses and report on expenditures, making adjustments to prevent overages and keep projects profitable. Prepare and execute all Statements of Work (SOW) and contracts with subcontractors, vendors, and clients prior to project kick‑off, ensuring clear definition of deliverables and terms. Scheduling & Planning: Create detailed production schedules, shot lists, and shooting calendars for multiple concurrent projects. Coordinate all pre‑production logistics, from booking or scouting locations and securing permits to arranging equipment rentals and crew travel to ensure each shoot is set up for success. Monitor timelines and adjust schedules as needed in response to changes in scope or unforeseen challenges, keeping all stakeholders informed. On‑Set Production Management: Serve as the on‑site line producer during shoots (including traveling to location shoots ~10–25% of the time). Oversee daily on‑set operations to make sure everything runs smoothly and on schedule. Coordinate on‑set logistics such as crew call times, transportation, lodging, meals, and equipment setup/tear‑down. Proactively handle any last‑minute issues or changes that arise, troubleshooting in real‑time to minimize downtime and ensure the production stays on track and within budget. Crew & Vendor Coordination: Source, hire, and manage freelance crew members and vendors as needed per project. Negotiate contracts and day rates that fit within the budget while securing top talent. Clearly communicate shoot details, schedules, and expectations to all crew and third‑party partners, fostering a collaborative and efficient on‑set environment. Client Communication: Act as a primary point of contact for clients throughout the production process. Work closely with clients to understand and protect their vision, and provide them with regular updates on progress. Coordinate client approvals for key production elements and ensure the final deliverables meet or exceed the client’s expectations. Maintain professional and responsive communication, effectively managing feedback and incorporating client notes while keeping projects on schedule. Cross‑Team Collaboration: Collaborate with internal creative leads to align on creative direction and production logistics. Facilitate clear communication between creative, production, and post‑production teams, helping to facilitate inter‑departmental communication and collaboration. Ensure that creative objectives are feasible within production constraints, and that production decisions support the creative vision. Quality Control & Post‑Production Handoff: Uphold high‑quality standards across all productions to maintain Black Koles’ reputation for excellence. During shoots, monitor footage and setups to guarantee they fulfill the creative brief and technical requirements. After each shoot, organize and hand off all footage, release forms, and production notes to the post‑production team (editors and post‑producer) for a smooth transition. Conduct post‑mortem reviews of each project – including final budget reconciliation and production debriefs – to document lessons learned and continually improve our processes.

Experience & Education: 5+ years of experience as a Line Producer, Producer, Production Manager or similar role in film, video or commercial production. A proven track record of successfully completing projects from planning to completion is required. Experience working on outdoor/adventure or documentary‑style projects is a bonus. (Bachelor’s degree in Film, Communications, or related field is preferred but not mandatory.) Production Knowledge: Strong working knowledge of end‑to‑end production processes – from pre‑production planning, permits, and crewing, through on‑set protocols to post‑production workflows. Able to create and manage shoot schedules, call sheets, shot lists, and other production documents with confidence. Familiarity with industry‑standard budgeting and scheduling software (BlinkBid) is preferred.

Organizational Skills: Extremely organized and detail‑oriented. Proven ability to juggle multiple projects and timelines simultaneously in a fast‑paced environment. Nothing falls through the cracks on your watch – you excel at time management, prioritization, and maintaining orderly documentation. Budgeting & Business Acumen: Demonstrated ability to develop and manage budgets, handle cost reporting, and ensure financial goals are met. Comfortable negotiating rates and contracts with vendors and freelancers to stay within budget. Basic understanding of business considerations such as profit margins and return on investment in a production context. Leadership & Communication: Excellent communication and interpersonal skills. Able to lead crews on set and coordinate diverse teams with tact and clarity. Experience interfacing with clients or stakeholders is important – you can translate client needs to the team and vice versa. Strong conflict‑resolution and problem‑solving skills, especially under time pressure. Tech & Tools: Proficiency with common project management and collaboration tools (Google Workspace, Asana, Trello, Slack, Zoom). Competency with cloud storage and asset management (Dropbox/Drive) and basic AV tech knowledge (camera gear, lighting, audio). While not required, any hands‑on skills in videography or editing (Adobe Premiere Pro, etc.) are a plus. Adaptability: Ability to thrive under pressure and adapt quickly to changing circumstances on a production. Thorough attention to detail coupled with flexibility to handle last‑minute changes or challenging outdoor field conditions. A positive, can‑do attitude and passion for storytelling will help you fit right in with our team. Travel & Physical Requirements: Willingness to travel for shoots (approximately 10–25% of the time) and work on‑location in outdoor environments. Must have a valid driver’s license and be comfortable driving production vehicles. Able to lift and carry production equipment (up to ~50 lbs) and work long hours on your feet when on set.

Salary: Competitive salary commensurate with experience, benchmarked to market rates. The final offer will reflect your experience and skills; an annual performance bonus may be included based on project success.

Benefits: We provide a comprehensive benefits package, including paid time off (vacation/sick leave plus at least 8 paid holidays), a health insurance stipend (monthly reimbursement for healthcare premiums) and a 401(k) retirement plan. Work Environment & Culture: You’ll be joining a fast‑paced, creative agency environment where no two projects are the same. We offer a flexible hybrid work arrangement – our team operates from a mix of home office, co‑working space, and on‑site locations. While we expect a full‑time commitment (~40 hours/week), we understand the need for flexibility, especially around shoot schedules. At Black Koles, we work hard and play hard: you’ll have the chance to travel to amazing locations, collaborate with a passionate and fun‑loving team, and produce content for some of the most exciting brands in the outdoor and adventure space. We value creativity, initiative, and the shared love of the outdoors in our company culture.
