HVAC Estimator

Compensation: $75,000–$100,000 annually, depending on experience

Position Overview: We are seeking a detail-oriented and motivated HVAC Estimator to join a growing mechanical contracting team in Farmingdale, NY.This is a fast-paced, high-volume estimating position requiring the ability to manage bids for up to 30 projects at any given time while maintaining accuracy, organization, and strict deadlines. The ideal candidate has a strong understanding of HVAC systems, construction estimating, and competitive bidding. We are open to both junior-level estimators looking to advance their careers and experienced estimators who can independently manage a high-volume bidding workload.

Key Responsibilities: Prepare detailed and competitive HVAC cost estimates for commercial and residential projects. Manage a high-volume bidding pipeline of up to 30 active projects simultaneously. Prioritize multiple bid deadlines while ensuring accuracy, completeness, and timely submissions. Review construction drawings, specifications, blueprints, and bid documents. Perform detailed quantity take-offs for HVAC equipment, ductwork, piping, controls, and associated materials. Solicit, review, and compare vendor and subcontractor pricing. Analyze labor, materials, equipment, and overhead costs to develop accurate proposals. Prepare and submit competitive bids, estimates, and proposals within established deadlines. Identify value-engineering opportunities and recommend cost-effective alternatives. Collaborate with project managers, engineers, vendors, and subcontractors throughout the estimating process. Support project handoffs by providing accurate estimating documentation and cost breakdowns. Maintain organized bid logs, estimating records, and historical cost data. Participate in pre-bid meetings, site visits, and client discussions as needed.

Qualifications: Experience in HVAC estimating, mechanical contracting, or a related construction estimating role. Junior candidates with relevant HVAC or mechanical estimating experience are encouraged to apply. Strong understanding of HVAC equipment, systems, materials, and installation methods. Experience reviewing construction drawings, specifications, and bid packages. Ability to manage multiple estimates and competing deadlines in a fast-paced environment. Proficiency in estimating software and Microsoft Excel. Strong mathematical, analytical, and problem-solving abilities. Excellent organizational skills and attention to detail. Effective communication skills and ability to coordinate with internal teams and external vendors. Valid driver's license and ability to attend local project sites as needed.

Preferred Experience: Commercial HVAC estimating experience. Background working for an HVAC or mechanical contractor. Familiarity with Long Island and NYC construction markets and building codes. Experience with union and non-union labor estimating. Knowledge of value engineering, cost analysis, and competitive bid preparation. Experience managing a large volume of simultaneous bids and proposals.

Ideal Candidate Profile: We are considering candidates at different experience levels: Junior HVAC Estimator — Up to $85KA developing estimator with a solid understanding of HVAC systems, construction drawings, and estimating fundamentals. Must be organized, detail-oriented, and capable of managing multiple bids while continuing to develop technical expertise. Experienced / Senior HVAC Estimator — Up to $100KAn established HVAC estimator with demonstrated experience independently preparing competitive bids, managing a high-volume estimating pipeline, and consistently meeting deadlines. Must be comfortable handling up to 30 active bidding opportunities at a time.
