We are seeking an exceptional Executive & Lifestyle Personal Assistant to work directly alongside a high-performing entrepreneur based in Miami. This is not a traditional 9-to-5 assistant position. The ideal candidate is highly organized, resourceful, energetic, technologically capable, discreet, and extremely adaptable. We are not looking for someone who simply waits for tasks. We want someone who notices what needs to be done, anticipates problems before they happen, follows up without being reminded, finds solutions independently, and constantly looks for ways to make the principal's life easier, faster, and more organized.
The Role:
Your responsibility is simple: help keep everything moving. That can mean coordinating travel, following up with a business partner, organizing meetings, solving an unexpected problem, managing personal logistics, communicating with team members, handling a last-minute mission, or jumping on a flight with limited notice. There will not always be a playbook. The right person enjoys figuring things out and can move quickly betweenbusiness, travel, personal, social, logistical, and administrative priorities.
What You'll Be Responsible For:
Managing schedules, appointments, meetings, travel, priorities, reminders, and important deadlines.
Traveling domestically and internationally when required, including occasional last-minute trips.
Coordinating flights, hotels, ground transportation, reservations, itineraries, and detailed travel logistics.
Following up with employees, contractors, vendors, partners, and contacts until commitments are actually completed.
Maintaining a clear view of outstanding tasks, open loops, priorities, and next actions.
Keeping the principal accountable to important commitments and making sure nothing falls through the cracks.
Researching problems and presenting solutions instead of simply reporting problems.
Handling personal errands, lifestyle-related tasks, appointments, purchases, and special requests.
Helping coordinate events, meetings, trips, experiences, and special projects.
Communicating professionally with executives, team members, vendors, clients, and high-level contacts.
Organizing documents, receipts, notes, itineraries, schedules, digital files, and important information.
Handling unexpected missions and changing priorities with calm, speed, and good judgment.
Technology & Computer SkillsYou must be very comfortable on a computer and able to learn new technology quickly. You do not need to be a softwareengineer, but technology should come naturally to you.
Google Workspace, email, calendar, spreadsheets, documents, presentations, and cloud storage.
Online research, AI tools, travel and booking platforms, project-management tools, and messaging apps.
Digital file organization, basic troubleshooting, and learning unfamiliar platforms without hand-holding.
Who We're Looking ForExtremely proactive: You notice what needs attention before someone has to tell you.
Resourceful: If the first solution does not work, you find another one.
Relentless with follow-up: If someone says it will be done Friday, you are already checking before Friday.
Highly organized: You can manage many moving pieces without losing track of details.
Flexible: Plans can change quickly and you adapt without becoming overwhelmed.
Travel-ready: You are comfortable with frequent domestic and international travel.
Comfortable with irregular schedules: Some days may be long and some weeks may be significantly busier than others.
Socially confident: You can speak comfortably with employees, vendors, executives, investors, creators, andstrangers.
Discreet: You can be trusted around private conversations, travel plans, financial details, and confidential business matters.
Independent: You can operate without constant supervision and use sound judgment.
Solution-oriented: When something goes wrong, your instinct is to figure it out.
What This Position Is NotThis is not a predictable desk job where you wait for a checklist every morning. It is not a role for someone who needs constant direction or wants every responsibility to fit neatly inside a job description.
