Position Summary:
AEQUITA North America is looking for a highly organized, proactive and hands-on Executive & Operations Coordinator to support our North American team and Managing Director. This is not a traditional administrative assistant role. We are looking for someone who takes ownership, works independently and identifies what needs to be done without requiring continuous direction. As our Managing Director and team frequently travel across the U.S. and internationally, you will play an important role in keeping our Summerville office and day-to-day administrative activities organized and running smoothly.
Key Responsibilities:- Support the Managing Director and AEQUITA North America team with day-to-day administrative and organizational activities
- Independently coordinate and manage office-related topics and external service providers
- Maintain recurring monthly employee activity and administrative tracking
- Coordinate contracts, subscriptions and service providers, including mobile phone and other office-related agreements
- Support team planning, meeting coordination and Microsoft Teams organization
- Coordinate travel planning, flights, hotels, rental cars and other arrangements
- Prepare and coordinate travel expense reports
- Support recruiting activities, including candidate coordination, interview scheduling and communication
- Support weekly payroll preparation and coordination with external providers
- Coordinate external stakeholders and follow up on open topics
- Maintain administrative documentation and ensure deadlines and recurring activities are completed on time
- Support additional organizational and administrative projects as required

Ideally, you bring:
- Previous experience in executive support, office management, business administration or a similar role
- Strong organizational skills and attention to detail
- Ability to work independently and prioritize multiple topics
- High level of ownership and reliability
- Strong follow-through – open items do not get lost
- Professional communication skills
- Confidence interacting with employees, candidates, vendors and external partners
- Good knowledge of Microsoft Office and Microsoft Teams
- Comfort working in a small, entrepreneurial and fast-moving organization
- Discretion when handling confidential employee and company information
- Working ModelPart-time position, approximately 20 hours per week
- Based at our Summerville, South Carolina office
- Regular presence in the office required
