Job Description:
The Billing and Permitting Admin supports the plumbing company’s operations by managing permit applications through the full permit lifecycle, preparing and tracking billing, maintaining accurate customer and plumbing records, and coordinating vendors, schedules, products, and inspections. This role handles commercial project billing, progress billing and retainage, and residential service invoices while using ServiceTitan to support daily administrative work. The position reports to the Plumbing Operations Manager and Company Owner.
Responsibilities:
Submit permit applications and track approvals through the full permit lifecycle.
Prepare commercial project bills, progress billing, retainage documentation, and residential service invoices.
Track payments and support timely invoice follow-up.
Maintain accurate customer records and plumbing documentation.
Coordinate vendors, product ordering, and related administrative details.
Coordinate schedules and inspections.
Provide administrative support using ServiceTitan.
Required Qualifications:
2+ years of experience in billing and permitting administration.
Prior experience working within the plumbing industry.
High school diploma or equivalent.
Preferred Qualifications:
Microsoft Excel proficiency.
Invoice processing experience.
Permit management experience.
Strong attention to detail.
Customer service skills.
