Administrative Associate | Wealth Management | Savannah, GASound View Wealth Advisors is growing, and we are looking for an Administrative Associate to join our Savannah team. This role is ideal for someone who is highly organized, personable, proactive, and enjoys being at the center of a busy professional office. As one of the first points of contact for our clients and guests, you will help create the warm, professional, high-touch experience that defines Sound View. The primary focus of this role is client scheduling and calendar coordination, along with front desk responsibilities and day-to-day administrative support. You will also assist with office operations, events, and special projects as needed.
What You’ll Do:- Manage and coordinate client appointment scheduling for advisors and team members
- Handle appointment confirmations, scheduling changes, and calendar coordination
- Communicate professionally with clients by phone and email regarding appointments and scheduling needs
- Welcome clients, guests, and vendors and help maintain a polished, client-ready office environment
- Answer and direct incoming phone calls promptly and professionally
- Prepare conference rooms and meeting spaces for client appointments
- Provide administrative support to team members, including filing, scanning, copying, and document preparation
- Assist with incoming and outgoing mail, deliveries, and general correspondence
- Help with office supplies, vendor coordination, maintenance requests, and other day-to-day office needs
- Assist with internal meetings, client events, team events, and office activities
- Assist with new employee onboarding and workspace preparation
- Support special projects and ad hoc requests across the firm
- Anticipate team and office needs and help keep daily operations organized and running smoothly
- Who We’re Looking ForPrevious experience in scheduling, front desk, receptionist, administrative support, or a similar professional role
- Strong organizational and calendar management skills
- Warm, polished, and professional communication style
- Excellent attention to detail and follow-through
- Ability to manage multiple priorities in a fast-paced environment
- Confident and professional phone presence
- Proactive mindset and willingness to jump in where needed
- High level of professionalism, discretion, and confidentiality
- Proficiency in Microsoft Outlook, Word, Excel, and PowerPointWillingness to obtain a Notary Public commission
- Experience with CRM, scheduling, or client management systems is a plus
